Job Title Executive Assistant
Join our team as an Administrative Assistant, supporting the finance department, in particular two Directors: The Head of Finance Service Centers & the Head of Strategic Finance for the Hospitality business unit.
Partner with the Directors and help them run their organizations by managing proactively their agenda, facilitate and help on the scheduling of meetings and team activities, relieving them of certain administrative tasks, travel arrangement and expense submission. All of this in a very dynamic and international environment where your impact matters.
You will also make recommendations on new solutions and propose improvements to different processes and activities. You will work with a moderate level of guidance and direction from your manager.
In this role you’ll:
Handle Executive’s agenda and ensure that he/she is always attainable and that all pertinent issues are dealt within a timely fashion.
Greet, and accompany visitors, guests, high-level contacts and newcomers.
Prepare correspondence, reports, presentations, agendas, minutes, status reports, etc.
Compile and maintain data (including confidential) for reports, filing and internal processes.
Coordinate meeting arrangements, and tracks expenses.
Arrange business travel and follow-up.
Approve standard demands / requests within delegated authorities.
Maintain project and administrative files.
Check that the office set up is appropriate and that office equipment is properly configured, installed and maintained.
Maintain necessary office supplies for supervisor/group supported.
Handle specific projects related to the activities of the executive.
Occasional travel may be required.
Occasionally, receive, screen and direct incoming calls, mail and e-mail.
About the ideal candidate
At least 3 years of complex schedule / agenda organization, travel coordination and office administration support at the senior management level ideally in a supporting global/international role
Professional, with excellent written and spoken English. German and /or Spanish is an asset.
Approachable and professional disposition
Well-organized and highly detailed oriented
Good working attitude and willingness to maintain an open communication approach.
Strong planning and organizational skills in managing schedules and delivering deadlines.
Meticulous and possessing strong ownership as well as proactiveness.
Ability to work independently and show a high level of prioritization.
Business Environment
The Amadeus Finance Department is a very dynamic, global department. In particular both the Hospitality organization and the Financial Service Centers are spread across the world with their leaders based out of Madrid and Bad Homburg (Germany) respectively.
