Administrative Support (MGMT 2023-09)

The Institute of Chemical Research of Catalonia (ICIQ) is looking for an Administrative Support for the Purchasing and Logistics Unit, and for the Administrative Support Unit when needed.

ICIQ is committed to performing excellent research at the frontier of knowledge in the broad area of chemistry (Catalysis, Artificial Photosynthesis, Activation of Small Molecules, Photovoltaics, Functional Molecular Assemblies and Chemical Biology, from either theoretical or experimental perspectives). The institute also aims at training the future generation of scientists by offering high-quality educational programmes to master, PhD students and postdoctoral researchers (Full details on ).

Responsibilities

Under the supervision of the Purchasing and Logistics Manager and the Administrative Support Manager, the applicant’s responsibilities will include:
Confirm prices and delivery time with the supplier, file documentation related to the purchase request via Docuware. Correct errors in orders. Generate and send orders to suppliers once authorized requests are received. Manage invoice payments. Process orders via web.
Track pending orders and update data in SAP, inform SAP users.
Claim pending orders after the deadline, products in poor condition, etc.
Process returns with suppliers. Inform groups of return conditions when necessary. Coordinate returns between groups, logistics, reception and supplier.
Archive documents related to requests and orders with the Docuware application
Placing orders when administrative support is absent or on vacation.
Providing support, when necessary, to the Administrative Support Unit within the areas of competence of the unit (mostly the scope of purchasing orders/reporting of research projects and travel organisation and settlement of expenses).
Requirements
CFGS in Administration and Finance or equivalent.
Catalan, Spanish and English level: fluent conversation (certificates not required).
Good knowledge of Microsoft Office tools (Outlook, Excel, Word and PowerPoint).
Experience with SAP.
